The Senior Administrator is responsible for overseeing and managing administrative operations to ensure smooth, efficient, and organized office and site activities. The role provides leadership to administrative staff, implements office policies, and ensures compliance with company procedures and project requirements. The Senior Administrator supports project management and site operations by coordinating documentation, logistics, and office services to maintain productivity and operational efficiency.
Manage daily administrative operations including office services, documentation, correspondence, and record keeping.
Supervise and provide guidance to administrative staff to ensure efficient workflow.
Coordinate with various departments including HR, Finance, Procurement, and Project teams to support operational needs.
Maintain and monitor office supplies, equipment, and facilities to ensure uninterrupted operations.
Prepare, review, and manage official communications, reports, and project documentation.
Ensure proper filing, archiving, and retrieval of records in line with company procedures.
Support meeting arrangements, travel planning, and logistical coordination for staff and management.
Ensure compliance with company policies, regulatory requirements, and internal control procedures.
Coordinate with site and project teams to facilitate smooth administrative support for operational activities.
Monitor administrative processes and implement improvements to enhance efficiency.
Maintain visitor logs, security access, and office safety protocols.
Assist in budget preparation and control for administrative expenses.
Ensure that 90% of administrative tasks are completed accurately and within deadlines.
Support documentation for audits, inspections, and compliance reviews.
Facilitate internal communication and dissemination of company policies and announcements.
Assist in organizing training, workshops, and employee events as required.
Monitor and report on key administrative performance indicators.
Liaise with vendors, contractors, and service providers for office facilities and services.
Support HR in administrative aspects of recruitment, onboarding, and staff mobilization.
Ensure adherence to HSE and company Integrated Management System (IMS) policies in all office operations.
Maintain confidentiality of sensitive information and personnel records.
Participate in continuous improvement initiatives for administrative processes and office management.
Strong knowledge of administrative and office management practices.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational, coordination, and multitasking skills.
Strong interpersonal and communication skills.
Ability to supervise and lead a team effectively.
Knowledge of ERP systems (preferably SAP) is an advantage.
Attention to detail, problem-solving skills, and proactive approach.
Fluent English
Minimum 8 years of total experience in administrative roles.
At least 5 years of experience in a senior or supervisory administrative position, preferably within construction, engineering, or project environments.
Bachelor’s Degree in Business Administration, Management, or related field.
Professional certifications in administration, office management, or project support are an advantage.
