Join BAT Algeria as an Executive Assistant to the Country Manager
Key Objectives & Expectations :
We are looking for a dynamic, reliable, and highly organized Executive Assistant to support our Country Manager. You will play a vital role in:
Accountabilities :
• Plan and maintain the Country Manager’s agenda (making appointments, organizing meetings and travel)
• Support HQ functions in different projects and initiatives
• Plan and support purchasing transactions and act as the company interface with external stakeholders (hotels, flight bookings, meetings)
• Manage call filtering, register and sort information, and ensure proper data transmission
• Plan and ensure a quality reception for the company’s guests from invitation to hosting and departure
• Conduct various secretarial tasks for the Country Manager (note-taking, sending correspondence, filing, document reproduction, archiving, etc.)
• Perform sorting, distribution, postage, mail registration, and e-mail management
• Organize and coordinate all arrangements for meetings and company events
• Take notes from oral or handwritten instructions and present them in a professional format
• Ensure complete processing of specific files (data collection, drafting, formatting)
• Maintain tracking and proper management of both physical and digital records
• Maintain and prepare all necessary files and documents required for the Country Manager’s meetings (file summaries, key points, and orientations)
• Make travel reservations: propose the most suitable and cost-effective options, manage changes upon request, and ensure follow-up for the relevant support functions (excluding Marketing)
• Organize visas and travel itineraries for BAT above-market guests
• Manage the Procure-to-Pay process (supplier selection, CRA, POs, contracts, and expense claims) OTIF and in full compliance with related suppliers
• Manage the GM’s budget and track actuals to ensure optimal spending and visibility
• Support the internal communication agenda and prepare various communication materials after alignment with the concerned functions
EXPERIENCE, SKILLS & KNOWLEDGE
Essential Requirements:
• 2–4 years of experience in a similar role
• University degree or equivalent qualification
• Fluency in English (both spoken and written) is mandatory
• Strong teamwork and interpersonal skills
• High level of confidentiality and discretion
• Autonomous and flexible, with the ability to adapt to changing priorities
• Excellent written and verbal communication skills
• Proficient in Microsoft Office and general IT tools
• Highly organized and punctual
• Comfortable working in a multicultural and multinational environment
