Job Summary :
The IT Assets Officer manages the lifecycle of IT assets within an organization, including procurement, deployment, tracking, maintenance, and disposal. They are responsible for ensuring that all IT assets, such as hardware, software licenses, and peripherals, are properly accounted for and utilized efficiently. Additionally, they collaborate with procurement teams to source and acquire IT assets, negotiate contracts with vendors, and ensure compliance with budgetary constraints and procurement policies. The IT Assets Officer also maintains accurate records of asset inventory, including serial numbers, configurations, and warranty information, using asset management tools and systems.
Job Responsibilities :
Secure all the IT assets are registered in Database.
Secure 100% of review of all documents related to IT Fixed Assets.
Ensure all updates, registers are documented under procedure forms.
Ensure to maintain IT Assets database up to date.
Establish 100% in IT Assets physical inventories.
Establish 100% review in IT Assets Book.
Ensure to follow up on relevant IT Technician or Store Keeper to ensure up to date information of inventories.
Ensure all IT Technician or IT Area Manager report about transfers.
Ensures that all IT Assets transfer go through Policy and Procedure Transfers.
Ensure 100% of review of all approved documents (MAC form) before update tracking database.
Report to Fixed Assets Accountant to transfer Cost to relevant Cost Center.
Ensure to coordinate all IT technician to receive IT Assets inventory.
Collect all reports and details related to relevant site or project including physical count.
Submit Report to relevant project or site, IT manager and Fixed Assets Accountant for further actions.
Ensure all IT Assets disposal go through Policy. Ensure all disposal to be documented and approved by IT Director.
Submit report to Fixed Assets Accountant to ensure that the Assets removed from Cost Center.
Ensure to have knowledge about all IT Assets purchased within the organization, 100% of register on all IT Assets with LPO number and Serial number.
Prepare all IT Fixed Assets delivery must go through IT Department warehouse.
Assure that all IT Assets tasks documented.
Job Knowledge & Skills :
Knowledge in Asset Management.
Knowledge of records administration, inventory control principle and methods.
Knowledge in purchasing, financial accounting
Knowledge of IT and terminology that must be present in procurement documents, such as signatures, accounting codes, item descriptions, quantities, and prices, to identify missing information.
ERP knowledge preferably SAP functional skills are a requirement to be successful in this role.
Job Experience:
Minimum 3 year(s) working experience, 2 year(s) relevant working experience.
Education
Bachelor's Degree in Information Technology or any related field.
