The Project Coordinator (Contractor) is responsible for supporting day-to-day operational, logistical, and financial activities within customer projects. This includes coordination of spare parts fulfillment, offshore repair operations, and field services, ensuring smooth and compliant execution across multiple workflows. The Project Coordinator will collaborate closely with internal teams, suppliers, and customers to drive process accuracy, timely delivery, and operational excellence within the assigned projects.

What you’ll do:

  • Coordinate order and fulfillment activities, ensuring accurate ERP booking, documentation, and compliance with customer and internal requirements.
  • Review, validate, and reformat invoices, shipping documents, and supplier paperwork to ensure completeness and accuracy.
  • Track shipments, coordinate customs clearance, and provide all required technical and logistics documentation to support smooth delivery.
  • Maintain and update operational trackers to provide visibility on order status, discrepancies, and replacements.
  • Support offshore repair projects by creating and maintaining project trackers covering project numbers, costs, timelines, and milestones.
  • Collaborate with planning and forecasting teams to secure or reschedule induction slots as needed.
  • Participate in project kickoff meetings and document project scope, key milestones, and deliverables.
  • Follow up on repair progress, shop extra work approvals, and material reimportation.
  • Support field service coordination by tracking timesheets, reports, and invoices, ensuring timely submission and compliance.
  • Maintain financial trackers related to invoice issuance, payments; support forecasting by providing accurate data to regional analysts.
  • Assist with payment follow-ups and ensure timely collection of receivables.
  • Communicate project updates, delays, and resolutions to customers and internal stakeholders in a clear and professional manner.
  • Handle customer technical requests such as datasheets, documentation clarification, and specification reviews.
  • Support internal reporting, Salesforce updates, and other operational or administrative requests as needed.

What you’ll bring:

  • Bachelor's degree from an accredited university or college.
  • Proficiency in Excel (data management, tracker creation, reporting).
  • Familiarity with ERP systems and Salesforce is an advantage.
  • Excellent organizational and communication skills.
  • Ability to multitask, prioritize effectively, and maintain strong attention to detail in a fast-paced environment.
  • Team player with a proactive, problem-solving mindset.
